Validation programme for professional qualification as a polyvalent administrative assistant

What the profession involves

A polyvalent administrative assistant handles administrative files and relays information to one or more departments, taking into account the organisation’s guidelines and the requirements of the task.

A polyvalent administrative assistant:

  • performs administrative and logistical support tasks to assist the organisation;
  • handles general incoming communications and relays messages to the designated contact person;
  • consults and completes data in the database;
  • makes appointments with customers, suppliers and visitors and receives/directs them;
  • indexes, classifies and archives documents (including electronic documents) and performs copying;
  • performs similar administrative assignments for other departments on an ad hoc basis;
  • organises the movements of the person in charge or the team members;
  • ensures that adequate inventory is available and is responsible for providing limited logistical support with regard to the office equipment;
  • professionally prepares and follows up on case files.

The profession is practised in an office environment.

If you want to demonstrate your experience as a polyvalent administrative assistant at a validation body, you can do so by completing a practical test and a case study.

The language of the instructions during the tests will be Dutch.

You will be tested on your ability to:

  • welcome and receive a minimum of three persons (customers, suppliers, colleagues or visitors) and answer a question from a Dutch-speaking, French-speaking, English-speaking and German-speaking customer;
  • handle a minimum of three documents, twenty e-mails and five items of mail, during which you will handle documents from a Dutch-speaking, French-speaking and English-speaking customer;
  • provide logistical and administrative support for at least one digital meeting, at least one physical meeting and at least one event;
  • conduct at least three incoming and two outgoing telephone calls;
  • organise at least one journey by the person in charge or by team members;
  • prepare and follow up a minimum of two professional files (legal files, personnel files, accounting files, etc.);
  • monitor the inventory of the administrative department and provide logistical support in relation to the office equipment.
